Project Summary: The Executive Office of Health and Human Services (EOHHS) provides services that directly touch the lives of slightly more than 1 in 4 residents in the Commonwealth. Some of our most vulnerable citizens, including children, youth, adults, and the elderly are served by The Executive Office of Health and Human Services. EOHHS is the largest secretariat in state government and is comprised of 12 agencies, in addition to 2 soldiers' homes and the MassHealth program. The Commonwealth of Massachusetts' Executive Office of Health and Human Services is currently seeking an exceptional individual to join the EHS IT team. This is an exciting opportunity to join a highly skilled team and contribute to critical and highly visible projects and processes within the Executive Office of Health and Human Services.
Position Summary: The EOHHS IT Strategy and Operations Office is seeking a dynamic Administrative/Project Coordinator with a high level of professionalism, organizational skills, and desire to work in a fast-paced, performance driven environment. The person will be the primary administrative support and coordinator for the Chief Strategy and Operations Officer. This position will be responsible for daily core administrative tasks and coordination of mission critical activities. In addition, ad hoc projects will be performed as needed to support the multiple requests for information and presentation by Executive IT Management, which includes Human Resource and Financial analysis, IT Operational Planning, Training, and Local Government Awards. The ideal candidate will be a highly motivated, mature, goal driven, fast learner with exceptional communication and organization skills, and be very adaptable to change. Proficiency in Microsoft Office tools required to be successful in this role. Job Duties and Responsibilities: The EHS IT Strategy and Operations Project Coordinator will provide the following services (but not limited to): - Coordinate meetings on behalf of CSOO including preparation of agendas, distribution of meeting minutes taken, related correspondence, preparation of presentations, as well as all follow up activities.
- Conduct research, collect and analyzes data, prepare reports and
documents into consolidated charts/graphs. - Complete projects and special assignments:
- establish objectives; determine priorities; manage time; gain cooperation of others; monitor progress; problem-solve, and adjust
plans as needed. - Send out friendly reminders for overdue action items and follow up.
- Record meeting minutes; the decisions and action in proper format.
- Organize and manage meeting materials both electronic and hard copy.
- Ability to exercise discretion in handling confidential information.
- Excellent written and oral communication skills required in dealing with all levels of personnel within the EOHHS Secretariat.
- Ability to perform key duties with minimal supervision.
Qualifications: Special skill sets or experience - Complex administrative duties requiring a significant degree of skill, reasoning, ability, understanding, independent judgement and decision making.
- General understanding of IT technology/processes
- Knowledge of the methods used in the preparation of charts, graphs, and pivot tables.
- Ability to multitask and prioritize competing tasks while meeting deadlines.
- Strong organizational and planning skills.
- Confident, flexible, responsive, and eager to learn.
- Information gathering and monitoring skills.
- Demonstrated initiative, self-motivated with attention to detail and accuracy.
- Thorough working knowledge of Microsoft Office suite required (Word, Excel, PowerPoint, Access, VISIO)
- Work at Home/Remote Requirements: Must ensure designated work area is free from distractions during work hours and virtual meetings. Must provide a high-speed, uninterrupted modem for a remote workspace.
Education: - Bachelor's degree in business or equivalent experience.
