Job Description

The Office Services Coordinator oversees all front office activities, including the reception area, mail handling, supply purchasing requests, and facility management. The position involves coordinating various office services and related activities, including assisting with internal office moves and arranging office meetings.

ESSENTIAL FUNCTIONS

  • Oversee reception areas, conference rooms, supply rooms, mailroom, and kitchens to ensure that communal areas are clean, well-stocked, and organized.
  • Provide backup support for the reception area by answering internal and external telephone and mail inquiries in a professional manner.
  • Manage requests for vendor proposals for facility-related items, monitor service quality and cost-effectiveness, and make recommendations to the Records and Operations Manager.
  • Coordinate office moves, as well as the delivery and distribution of furniture and equipment, to ensure a smooth and non-disruptive process.
  • Responsible for mail pick-up and delivery, processing overnight deliveries, and managing other courier and legal services.
  • Responsible for maintaining and servicing office equipment, including multiple copy machines, fax machines, toner, postage machines, etc.
  • Arrange conference room setups, cleanups, and set up A/V equipment as requested.
  • Provide digital services, including printing, scanning, faxing, and copying.
  • Perform various administrative tasks for staff and attorneys.
  • Prepare office and workstation setups for new hires.
  • Participates in special department projects as needed.
  • Other duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required. Bachelor’s degree (preferred) and 3 years’ experience in law firm or other service-oriented environment.
  • Excellent written, verbal, organizational, technical, and interpersonal skills.
  • Proficient in Microsoft Office – Word, Outlook, and Excel – and general office equipment.
  • Must have problem solving and interpersonal skills with experience in providing excellent administrative support in a professional environment with tact and diplomacy.
  • Flexibility, adaptability, and ability to work in a changing environment is necessary.
