Part-Time Office Manager
Location: On-site | Tattoo Projects Advertising Agency
Hours: Monday–Friday, 8:30 AM – 2:30 PM
About the RoleWe’re a fast-paced, creative advertising agency looking for a proactive and detail-oriented Part-Time Office Manager to keep our office running smoothly day to day. This position is perfect for someone who enjoys a variety of responsibilities, takes pride in creating a welcoming environment, and can juggle both administrative and hands-on tasks.
Key Responsibilities Cultural· Welcome clients and guests in a friendly, professional manner
· Create a warm, client-ready environment throughout the office
· Brew coffee and keep snacks and beverages stocked
· Organize monthly birthday celebrations for staff
· Maintain a welcoming atmosphere with thriving plants and greenery
· Keep tabs on office vibes and work with leadership to ensure a positive work environment
· Communicate regularly with remote employees to encourage connectedness
Operational· Open the office each morning and prepare the workspace
· Set up and maintain the outdoor patio area
· Log into all conference room systems daily; update software and troubleshoot minor issues
· Manage soccer tickets and parking passes for Tattoo Projects’ lot during stadium events
· Handle office maintenance by coordinating vendors and repairs
· Keep office, kitchen, and bathroom areas clean, stocked, and presentation-ready
· Maintain office printers and supplies
· Run office errands as needed
Administrative· Order and restock office and kitchen supplies; manage the Amazon account
· Track employee expenses and receipts for accounting
· Send a daily email with all employees’ OOO, WFH, and sick statuses
· Coordinate and book employee travel
· Monitor refrigerators, run dishwasher, and clean kitchen surfaces
· Help with employee onboarding, software set up, subscription and licensing software (MS Office, Adobe, Chat GPT, etc)
· New business support and follow-up
· Update office inventory system regularly
Qualifications· Strong organizational skills and attention to detail
· Ability to prioritize and multitask effectively
· Comfortable with administrative tasks and vendor coordination
· Friendly, approachable, and service-oriented personality
· Reliable, proactive, and adaptable in a creative environment
· Working knowledge of Microsoft products: Word, Excel, PowerPoint
· Must have driver’s license and vehicle
· Ability to stay after 3pm on occasion with advance notice
