Our Herndon, VA office is expanding, and we are currently seeking a detail-oriented and proactive Air Import Coordinator to join our airfreight operations team.

Position Summary

The Air Import Coordinator is responsible for handling international air shipments from arrival to final delivery, ensuring compliance with all regulatory requirements and providing exceptional service to our clients. The ideal candidate has experience in air import logistics, a strong understanding of U.S. Customs procedures, and thrives in a fast-paced environment.

Key Responsibilities

  • Manage and coordinate inbound air shipments, including arranging customs clearance and final delivery.
  • Ensure timely filing of ISF, entry documentation, and other compliance paperwork.
  • Communicate proactively with airlines, customs brokers, trucking partners, and clients to ensure smooth cargo flow.
  • Track and trace shipments, providing regular updates to customers and internal stakeholders.
  • Accurately input data into freight forwarding systems and maintain up-to-date shipment records.
  • Review documents such as airway bills, commercial invoices, and packing lists for accuracy and compliance.
  • Respond to customer inquiries and resolve service issues promptly and professionally.
  • Prepare and process billing, ensuring accuracy in charges and timely invoicing.

Requirements

  • 2+ years of experience in air import operations within the freight forwarding or logistics industry.
  • Strong knowledge of U.S. Customs procedures, documentation, and compliance requirements.
  • Familiarity with Harmonized Tariff Schedule (HTS) and TSA regulations.
  • Proficiency in logistics software (CargoWise or similar) and Microsoft Office.
  • Excellent organizational, problem-solving, and communication skills.
  • Ability to manage multiple priorities and deadlines in a high-pressure environment.

Preferred Qualifications

  • Experience with perishable, high-value, or time-critical cargo.
  • Knowledge of bonded warehouse procedures or CFS operations.
  • Bilingual skills are a plus.
